Where can I find templates for verbiage for a decline letter for an RFP?
My company was personally invited to submit a proposal for a HUGE account. We have decided not to submit our proposal. However, since it was a personal invitation (the RFP was posted online - the account rep had the courtesy to call us) I would like to submit a refusal letter. I am having writers block, so I need help with putting the letter together. I found templates for submitting an rfp, but not for declining it. Please help.

- I happen to be a municipal buyer and receive "Statements of No Submittal" all the time. "Thank you for notifying COMPANY ABC of this project. Regrettably, we are committed to other projects/clients at this time. If we submitted a proposal for this project, we would be unable to offer the high level of services we typically provide. Please keep us informed of futher opportunities with your company." Hope that helps!
- I send out RFP's quite frequently. My best decline offers are short, honest, friendly and state a reason as to why they didn't want to participate. First thank them for the opportunity, say how pleased you are to be invited, tell them what a great opportunity the RFP is and then state your reason as to why your company did not want to participate (capacity = short notice, etc.) Also let them know if you want to be invited to future RFP's. Buyers appreciate companies that are honest about their capabilities. If the scale was too large - tell them, you might qualify for something smaller in the future.
